- Background Inventory management is one of the legal duties of Belgian hospital pharmacists. However, most of them never got any training to achieve this activity in a performing way. They often manage inventory using common sense and lack hindsight to assess their performance. Objectives 1) Creating a tool to assess performance of the inventory management of pharmaceutical drugs within pharmacy department. 2) Applying this tool in a hospital pharmacy to demonstrate its usefulness. Method We first used training courses, a review of practices and literature to compose a set of key performance indicators (KPIs) evaluating the performance of inventory management. Hospital pharmacists with inventory management expertise validated these indicators through the RAND/UCLA Appropriateness method (RAM). Participants then assessed the usability of the developed tool using the System Usability Scale (SUS). We finally applied this tool at the Clinique St Pierre Ottignies (CSPO) to demonstrate its usefulness. Results This work resulted in the creation of a user guide and a standardized Excel® dashboard of 6 KPIs adapted to hospital pharmacy practices (KPI n°1 : expiration rate, KPI n°2 : time spent to inventory management, KPI n°3 : inventory turnover, KPI n°4 : stock coverage, KPI n°5 : service level, KPI n°6 : organization of storage space). This tool received excellent SUS scores. It also demonstrated its usefulness through the implementation of improvement measures at CSPO. The results of 3 indicators were improved during the study period (KPIs n°2, 5 and 6). Conclusion Dashboards are ideal for steering activities such as inventory management. Numerous dashboards exist to monitor it in the Supply Chain domain. However, this tool is, to our knowledge, the first one validated and adapted to hospital pharmacy practices in Belgium. In a society that praises performance, the pharmacist could benefit from the use of this type of tool.
